The 6-Step Pre-Production Checklist
Step 1: Define the "Where" and "How" Before the "Look"
Most people start with design. Don't. Start with the product's life cycle. I learned this the hard way when a batch of 5,000 beautiful, glossy labels completely failed on oil-resistant bottles. They looked perfect in the box but peeled right off.
Ask and document:
- Surface: What material is this adhering to? (Plastic, glass, corrugated cardboard, fabric?)
- Environment: Will it face moisture, UV sunlight, freezing temps, or abrasion?
- Application: Is it applied by hand or machine? At room temperature or in a cold warehouse?
- Lifespan: Does it need to last 3 months on a shelf or 3 years on outdoor equipment?
This isn't my expertise in adhesives, so I always share these answers with the printer and ask, "Based on this, what material and adhesive do you recommend?" The vendor who suggests a specific laminate or a different adhesive grade is usually the one who knows their stuff.
Step 2: Lock Down Physical Dimensions & Tolerances
"Roughly 3 inches" isn't a spec. I once approved artwork for a "3-inch round label." The delivered batch was 2.875 inches. The vendor said it was "within standard trim tolerance." They weren't wrong—but the labels didn't fit the die-cut window on our packaging. That was a $2,200 redo.
Specify in your quote request:
- Final Trim Size: Use decimals. "3.000" x "2.000" inches or "76.2mm x 50.8mm."
- Tolerance: State your acceptable variance. For most brand items, I require ±0.5mm (±0.02"). If it's critical, say ±0.25mm.
- Shape: If it's not a perfect rectangle or circle, provide a die-line template in the artwork.
Step 3: Build Your Artwork File Correctly (The Technical Bit)
This is where most digital files fail. The design looks great on screen but won't print right.
Your artwork checklist:
- Resolution: All images and graphics must be 300 DPI (dots per inch) at the final print size. That's the commercial print standard. You can't scale up a 300 DPI 1-inch logo to 10 inches.
- Color Mode: Use CMYK for full-color process printing. Use Pantone (PMS) colors for exact brand color matching. Important: A Pantone color on screen is a simulation. The printed result can vary. For our corporate blue (Pantone 286 C), we always request a physical proof for color approval.
- Bleed & Safe Zone: Extend background colors 1/8" (3mm) beyond the trim line (bleed). Keep critical text/logo 1/8" (3mm) inside the trim line (safe zone) so nothing gets cut off.
- Outline Fonts: Convert all text to outlines/paths or embed the font files.
Step 4: Request and Scrutinize the Physical Proof
Never, ever approve from a PDF on your monitor. Screen colors lie. A physical proof, often called a "hard proof" or "match print," is the only way to see color, material, and finish accurately.
"Industry standard color tolerance is Delta E < 2 for brand-critical colors. Delta E of 2-4 is noticeable to trained observers; above 4 is visible to most people. You can't judge this on a screen." – Pantone Color Matching System guidelines.
When you get the proof:
- Check it under the lighting similar to where the product will be seen (store lighting, office light).
- Compare it to your existing brand materials if consistency is key.
- Feel the material. Is it the right thickness (often measured in "mil" or microns)? Is the finish (gloss, matte, soft-touch) what you expected?
- Initial and date it, and keep it. This is your legal benchmark for the full production run.
Step 5: Understand the Production Proof (The One Everyone Skips)
Here's the step most people miss. After you approve the hard proof, the printer makes plates and runs the press. Before committing to your full order, ask for a production proof or press sheet.
This is a sample from the actual print run, not a digital simulation. I didn't think this mattered until we got a batch where the color was perfect, but a subtle texture in the paper stock made our fine text slightly blurry. The hard proof was on smooth stock; the production run wasn't. The vendor made it right, but it caused a two-week delay.
If you're ordering 10,000+ units or the color is absolutely critical, the cost of a press check (visiting the facility) or a shipped production sample is worth it.
Step 6: Define the Quality Acceptance Criteria Upfront
Before you place the order, agree on what constitutes a reject. This avoids "it's fine" vs. "it's defective" arguments later.
Include in your PO or contract:
- Color Variance: "Colors must match the approved physical proof within a Delta E of 3."
- Defect Allowance: "Acceptable defect rate not to exceed 2% for minor issues (slight registration shifts). Zero tolerance for major defects (smearing, missing copy, adhesive failure)."
- Packaging: How should the finished goods be packed? (Flat, rolled, in shrink wrap, in cartons of 500?) Poor packaging can ruin perfect labels in transit.
Common Pitfalls & Final Advice
The Rush Job Trap: I've skipped final reviews because "we're in a rush." That's always the one time it matters. If you need it fast, use a vendor known for speed, but be even more specific on specs—they have less time for questions.
Online Printer vs. Specialist: Online printers are fantastic for standard items with standard turnarounds. But if your project has unique materials, extreme durability needs, or requires complex color matching, you might need a specialist. A good vendor will tell you if your project is at the edge of their capability. I trust the one who says, "We can do that, but for that specific outdoor adhesive, you might also want to quote with X."
Total Cost Thinking: The cheapest quote often forgets something—setup fees, premium material upcharges, or shipping. I always ask for an all-in, delivered price. A slightly higher unit price with guaranteed on-time delivery is usually cheaper than a low price plus a missed launch date.
Following this list won't make you a print expert, but it'll make you an educated buyer. It forces clarity, which is 90% of quality control. Now you've got a spec sheet any reputable printer will appreciate, and you're far less likely to be unboxing a disappointing surprise.
