Custom Packaging & Printing: 7 Questions I Wish I'd Asked Before My First Order

I've been handling custom print and packaging orders for about six years now. I learned this the hard way in 2021. I ordered 5,000 custom stickers, thrilled with the low per-piece quote. The final invoice? It included a $150 setup fee, a $75 charge for a 'complex file check,' and expedited shipping that doubled the freight cost. The 'best price' unit cost became meaningless. Now, my checklist item #1 is: Get a line-item quote or a detailed estimate that breaks out all potential fees. Don't hold me to this, but I'd say hidden fees can add 30-50% to a base quote if you're not careful.

2. How do I know if my digital proof will match the final product?

It's tempting to think that if it looks right on your screen, it'll print right. But color calibration, material texture, and finishing techniques create complexity. 3. What's the real timeline from approval to my door?

Vendors usually quote production time. But what about proofing time, shipping transit, and a buffer for errors? We didn't have a formal timeline verification process. For example, we needed durable labels for equipment that would be washed. We asked, "Can you make these waterproof?" The answer was, "Our standard vinyl is water-resistant, but for prolonged submersion, you need a specific laminate we don't offer. Here are two suppliers who specialize in that." That honesty was worth more than a cheap promise. Describe the end-use environment, not just the product.

7. What's the minimum order quantity (MOQ), and why?

This seems obvious, but the 'why' matters. Is the MOQ high because of material waste? Setup cost? Knowing this can help you negotiate or adjust your specs. I once needed 75 custom patches. Vendor A had a 500-piece MOQ. Vendor B had a 50-piece MOQ but a much higher per-unit cost. Vendor B explained their process was geared toward smaller, boutique runs. We went with them because the total cost for 75 was lower than buying 500 we didn't need.
